Co-Parenting Documentation Workbook — Excel Spreadsheet

$39.49Price

Keep important co-parenting information organized, accessible, and easier to review with this practical Excel workbook from Duncan Investigations Inc.

Managing parenting arrangements can involve many details. This workbook provides a structured place to record parenting time, communications, shared expenses, and important records, helping you maintain a clear history as events occur.

Whether you are establishing a routine or managing ongoing arrangements, consistent documentation can help you prepare for discussions, find information more quickly, and reduce reliance on memory.

Use it to support factual, dated recordkeeping focused on your children’s needs and day-to-day arrangements. Keep entries objective and retain original messages, receipts, and supporting documents separately.

What’s included in each tab

1. Dashboard: Your starting point. Enter your children’s names, both parents’ names, tracking year, and preferred starting day of the week. Select the child whose parenting information you want to review. Click the navigation cards to move between sections and see key parenting and financial totals.

2. Child Information: Maintain a reference page for each child, including date of birth, school, grade, teacher, school contact, medical provider, insurance information, allergies, and additional notes. Record important dates that also appear on the Custody Calendar.

3. Parent Information: Keep contact details for both households, including telephone numbers, email addresses, addresses, preferred contact methods, and emergency contacts. Record an arrangement summary, support order reference, effective date, and next review date.

4. Custody Calendar: View a monthly calendar populated from your Parenting Time records. Colour coding identifies each parent, shared or transition days, and noted days. Review parenting days, overnights, and important dates for the selected child.

5. Parenting Time: Record scheduled and actual parenting arrangements, start and end times, scheduled and actual overnights, visit status, and notes. Parenting hours calculate automatically, with entry checks to flag missing or inconsistent information.

6. Exchange Log: Document pickups, drop-offs, and transfers. Record the child, parents involved, planned and actual times, location, and notes. The workbook calculates minutes early or late and provides exchange status information.

7. Schedule Changes: Track requests to change parenting arrangements. Record the original date and parent, proposed arrangement, person requesting the change, reason, whether it was agreed to, and confirmation date.

8. Communication Log: Keep a factual record of texts, emails, telephone calls, in-person conversations, and parenting app communications. Include the topic, short summary, response needed, follow-up date, and status. Additional fields identify who recorded the entry and connect it to an original file.

9. Incident Log: Document relevant events with dates, times, child, category, location, factual description, action taken, and follow-up requirements. Include a permanent incident reference, information source, person making the entry, related file reference, follow-up status, and completion date.

10. Evidence Index: Create an organized reference list for existing emails, screenshots, photographs, receipts, and other records. Record file identifiers, descriptions, filenames, storage locations, sources, received dates, and related incidents. Original files remain stored separately.

11. Child Support: Record payment due dates, paying parent, expected amount, amount received, and payment date. The workbook calculates remaining balances and payment statuses, helping you compare recorded support expectations with actual payments.

12. Shared Expenses: Track medical, dental, school, childcare, clothing, activities, sports, transportation, food, therapy, supplies, and other expenses.

Record who paid, the total cost, each parent’s percentage, reimbursement received, reimbursement date, and receipt reference. Use a 50/50 division or enter another percentage; the workbook calculates both parents’ shares automatically.

13. Reimbursements: See an automatic view of the expenses recorded under Shared Expenses, including the original payer, reimbursing parent, amount due, amount paid, remaining balance, reimbursement date, and status.

The summary offsets amounts owed in both directions to show the net reimbursement position. Reimbursement details are entered on Shared Expenses, keeping the information connected to the original expense.

14. Court & Lawyers: Organize court and mediation dates, locations, documents needed, lawyer meetings, discussion topics, questions, and follow-up items. Keep open questions together so you can prepare for appointments.

15. Document Index: Track agreements, court documents, school and medical documents, financial records, receipts, identification, and other paperwork. Record where each document is stored and whether it is on file, requested, missing, or superseded.

16. Important Contacts: Maintain names, roles, organizations, telephone numbers, email addresses, addresses, related children, and notes for lawyers, teachers, health providers, childcare providers, coaches, and emergency contacts.

17. Monthly Summary: Review automatic monthly and annual totals for parenting hours, percentages, days, overnights, schedule changes, late exchanges, and missed visits.

Also review communication and incident counts, indexed files and documents, expected and paid support, outstanding support, shared expenses, and outstanding reimbursements. Charts help display patterns over the year.

18. Master Dashboard: See an overall summary of parenting time, recorded events, finances, upcoming dates, pending changes, and follow-up items. Charts display parenting time distribution, monthly parenting hours, expected versus paid support, and shared expenses. Entry warnings identify parenting records requiring review.

19. User Guide: Step-by-step guidance explains setup, editable cells, parenting time entries, reimbursements, permanent reference numbers, sorting, privacy, backups, printing, and workbook capacity.
